Companies in Toledo and Illescas: how the corporate account works for staff transport, visits to the warehouses and business trips, with one invoice a month

The corporate account is a way of paying and invoicing, not a contract: it has no fee and no minimum. The company's authorised people book by phone, email, WhatsApp or API, every trip has its price fixed in advance and the traveller neither pays nor keeps receipts. At the end of the month one invoice arrives with VAT itemised and the detail of every job — date, route, passenger and cost centre — ready for the accounts. It is what the companies on the Illescas and Seseña estates use for shift changes and visits, and what Toledo firms use to bring clients from the high-speed station or Barajas to their offices: Toledo to Barajas is 93 km and about 68 min.

What trips does a company in the province of Toledo ask for?

Four, almost always. Staff: shift changes at the Illescas, Seseña, Yuncos and Numancia logistics estates, at hours with no bus, and staggered pickups of several workers living in different towns. Visitors: suppliers, auditors, technicians and clients arriving at Toledo's high-speed station or at Barajas who have to turn up at a warehouse in Plataforma Central Iberum or an office in the old town, where public transport does not go and a Madrid taxi does not want to. Business trips: the early departure to the airport or station, with a margin for the flight and arrival tracking on the way back. And events: conventions in Toledo, group visits to the company, Christmas dinners with several coordinated cars.

The figures are the route engine's, the same for a company as for an individual: Toledo to Barajas, 93 km from 129,93 €; Toledo to Atocha, 71 km and about 54 min; Seseña to IFEMA for a trade fair, 53 km from 77,53 €. There is no surge or time-of-day surcharge: the price agreed when booking is the one on the invoice.

How is the account opened, and who may book?

It is opened from the companies page with the tax details and the authorised people; there is no lock-in and no fee. The usual setup is to authorise two or three people — reception, management, assistants — and have the rest of the staff go through them, although it can also be opened to the whole team with a cap per job. Each booking is confirmed in writing, with the route, time, passenger and price, and is tied to the cost centre named by whoever books, which is what later orders the invoice.

For trips that repeat — the staff run every morning, a worker's weekly rehabilitation appointment, the client who comes every month — the service can be fixed with the same driver, who already knows the address, the time and which gate to use out of the estate. If the company would rather have its own system do it, there is an API; and if it prefers to talk, phone and WhatsApp with written confirmation every time.

What does the monthly invoice include, and how is it booked?

One grouped invoice a month, with VAT itemised and one line per job: date, route, passenger, cost centre and amount. Travellers file no expense claims and advance no money, and the finance department receives a document that reconciles with the written confirmations of each booking. VAT on passenger transport is the reduced rate and appears as such on the invoice, which simplifies the deduction. Each trip is performed by a partner under their own valid VTC authorisation or taxi licence, with a trip sheet issued before it starts: if the compliance department asks for the document, it is there.

What the invoice does not include is surprises: no surge surcharge, no time-of-day surcharge, no charge for waiting at Barajas within the published courtesy time. If a flight is delayed, the app follows the actual landing time and the pickup moves by itself; if a meeting runs long, the driver is told by message and a wait or a new time is agreed, which is recorded in the job and on the invoice at its price.

How is a logistics-estate shift change with several pickups organised?

It is booked as a single service with several stops: the company gives the clock-in time at the warehouse and the workers' addresses, and the platform works out the run with staggered pickups so that everyone arrives together, with one price for the whole thing. If several vehicles are needed for the same shift, they are coordinated to the same clock-in time and invoiced together at month end. Addresses inside the estate are stored with the exact gate — in Plataforma Central Iberum or at the dry port a postal address is not enough — and the regular driver knows them.

Yuncos to the Illescas dry port is 10 km and about 13 min; from Seseña, 19 km. They are short, repeated trips, which is why what the company values is not the price of each one but the shift starting on time every day, holidays included, when the bus does not run.

What other kinds of companies in the province use the account?

Hotels and apartments in Toledo, to take guests to the high-speed station or Barajas with the charge on the room; clinics and insurers, for unaccompanied transfers to appointments and check-ups with escort to the door and the invoice to the insurer; schools and camps, for outings with several cars; and wedding and event organisers, who need staggered pickups and a single invoice. Each has its own page with what changes in its case; the account is the same.

Frequently asked questions

Does the corporate account have a fee or a lock-in?

No. It is a way of paying and invoicing: no fee, no minimum and no lock-in contract. With high volume a rate can be discussed.

Can anyone in the office book?

That is decided when opening the account: usually two or three authorised people, although it can be opened to the whole team with a cap per job. Every booking is confirmed in writing.

What if the visitor's flight is delayed?

The job carries the flight number and the app follows the actual landing time: the pickup moves by itself and the published courtesy wait starts counting at landing.

What does bringing a client from Barajas to Toledo cost?

The route engine works it out as for an individual: Toledo to Barajas is 93 km and about 68 min, from 129,93 €. That price is the one on the monthly invoice.

The account's conditions (authorised people, caps, cost centres) are set when it is opened and can be adjusted later. Kilometre, minute and price figures are those of the route engine when the page is opened; the VAT rate is the one published by the tax agency on the date consulted.
